Privacy Policy

1. Introduction

Anusuya Workspace ("the App") is an internal workforce management platform operated by Vinay Enterprises, Ahmedabad, Gujarat, India ("the Company", "we", "us"). The App is provided solely for use by authorized employees of Vinay Enterprises and its associated entities. It is not a public or consumer application, and access requires Company-issued credentials.

This Privacy Policy explains what information the App collects, how it is used, how it is stored, and the choices available to employees. By signing in to the App, an employee acknowledges the practices described here.

2. Who this policy applies to

This policy applies to current employees of Vinay Enterprises who have been issued credentials to access the App. It does not apply to members of the public, as the public cannot register for or use the App.

3. Information we collect

The App collects only the information needed to operate the Company's internal HR, attendance, payroll, sales, and field-operations processes.

• a) Account and profile information. Your name, employee ID, company email address, role, base location, and other employment details maintained by the Company for HR purposes.
• b) Attendance and biometric data.For employees who use biometric attendance, the App collects fingerprint data used to verify your identity when recording attendance. This biometric data is transmitted to and stored on the Company's own managed servers for the sole purpose of confirming attendance identity. It is never sold and is never shared with any third party. Employees who do not use biometric attendance are not required to provide fingerprint data.
• c) Location information.When you record an attendance punch or a field visit, the App collects your device's precise (GPS) location at the moment of that action, in order to verify where the punch or visit took place. Location is collected only at the time you perform these specific actions. The App does not collect your location in the background or when you are not actively recording a punch or visit.
• d) Call log information.For sales and field-service employees, the App may access your device's call log to help you record customer-call touchpoints within the CRM (for example, associating a call you made with a lead or customer). This information is used only to help you log business call activity into the Company's systems. Call log data is not sold and is not shared with any third party.
• e) Camera and photos. The App uses your device camera only when you choose to capture a photo — for example, a receipt or supporting document for an expense voucher. The App does not access your camera in the background.
• f) Device and technical information. Basic device and connection information needed to deliver the service, including push-notification identifiers used to send you approval alerts and reminders.

4. How we use information

We use the information collected to:

• verify your identity and provide secure sign-in;
• record and manage attendance, leave, and regularization;
• calculate and issue payroll and payslips;
• manage field visits, sales leads, inquiries, and customer touchpoints;
• process expense vouchers and reimbursements;
• send you notifications about approvals, reminders, and Company announcements;
• maintain the security and integrity of the Company's systems.

We do not use your information for advertising, and we do not build advertising profiles.

5. How information is stored and secured

All data entered in the App is stored on the Company's own managed servers. Access is restricted to authorized Company personnel on a need-to-know basis. The App supports secure sign-in with email and password, optional biometric or device unlock, and encrypted transmission of data in transit.

6. Data sharing

We do not sell your personal data. We do not share your personal data with third parties for their own purposes. Data remains within the Company's systems and is used only for the internal business operations described above. Limited service providers that help operate our infrastructure (for example, hosting and push- notification delivery) may process data strictly on our behalf and under confidentiality obligations.

7. Data retention

We retain employee data for as long as is necessary to fulfil the purposes described in this policy and to meet the Company's legal, accounting, and employment-record obligations. When data is no longer required, it is deleted or anonymized in accordance with Company policy and applicable law.

8. Your choices and rights

Employees may request access to, correction of, or deletion of their personal data held in the App, subject to the Company's legal and record-keeping obligations. Some data (for example, statutory payroll records) must be retained for periods required by law. To make a request, contact hello@anusuya.ai.

You can control certain device permissions (location, camera, call log) through your device settings. Disabling a permission may limit related features — for example, disabling location will prevent location-verified attendance punches.

9. Children

The App is an internal workplace tool intended only for adult employees of the Company. It is not directed to or intended for use by children.

10. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be communicated to employees through the App or through normal Company channels. The "Last updated" date at the top of this policy indicates when it was last revised.
